What goes on a W-9 (overview)
The form is short. In general terms, it asks for:
| Part of the form | What it asks for |
|---|---|
| Line 1: Name | Your name as shown on your income tax return (or the entity's name) |
| Business name line | A business, trade or disregarded entity name, if different from line 1 |
| Federal tax classification | A checkbox: individual/sole proprietor, corporation types, partnership, trust/estate, LLC, or other |
| Exemptions | Exempt payee and FATCA codes, which apply only to certain entities; many individuals leave them blank |
| Address | Street address, city, state and ZIP code |
| Part I: TIN | Your Social Security number or Employer Identification Number |
| Part II: Certification | Your signature and the date |
Exactly which classification, name and number to use depends on your situation. The IRS Instructions for Form W-9 explain each line; this guide does not replace them.

- Android: download it to your Downloads folder, open it in Quick PDF in Chrome, and turn the phone sideways for larger fields.
- Computer: download the form from the email or irs.gov and open it from Downloads.
If the copy you received is a scan with no fillable fields, use Add text to type on each line. See fill out a non-fillable PDF.
Signing a W-9 electronically
Quick PDF's Sign tool places your drawn, typed or uploaded signature on the signature line in Part II. Many requesters accept a W-9 signed this way. The IRS also sets rules for requesters who collect W-9s through their own electronic systems, so some companies ask you to complete the form inside their portal instead.
Quick PDF's signature is an electronic signature image; it is not a certificate-based digital signature and has no audit trail. If a requester needs a particular method, follow their instructions. This is general information, not legal or tax advice.
Send your W-9 securely
A W-9 contains your Social Security number or EIN, which makes it valuable to identity thieves. Before you hit send:
- Confirm who is asking. Scammers sometimes pose as clients or banks and request a W-9. If anything seems off, call the requester using a number you already know.
- Use their secure upload portal if they have one, rather than regular email.
- Password-protect the PDF with Protect (AES-256 encryption) and share the password by phone or a separate message.
- Do not post it in group chats or shared folders.

Common W-9 mistakes to avoid
- Name and number do not match. The name on line 1 and the TIN in Part I need to match IRS records. A mismatch is a common reason requesters ask again; the IRS instructions explain which name to use for sole proprietors and single-member LLCs.
- Missing signature or date. An unsigned form is usually sent back.
- An old revision. Some requesters only accept the current version; get it from irs.gov.
- Answers lost. Download with Flatten form and open the file once to check every field before sending. See how to flatten a PDF.
- Sending it to the IRS. A W-9 goes to the person or company that requested it, not to the IRS.
Troubleshooting
The SSN boxes cut off my digits
Zoom in and make sure you are typing in the right field. On a flat copy, use Add text with a smaller size for each group of digits.
I made a typo after flattening
Open your fillable copy again (or a fresh form), correct it, and download a new flattened copy.
The requester wants it as part of a packet
Use Merge to combine the W-9 with other documents. Form fields are flattened when files are merged, so check your answers first.
Questions people ask
Can I fill out a W-9 online and sign it electronically?
Yes. Form W-9 from irs.gov is a fillable PDF. Open it in Quick PDF, type your details, place your signature with Sign, and download it. Many requesters accept electronic signatures; some ask you to use their own portal.
Where do I get a blank W-9 PDF?
Download the current Form W-9 directly from the IRS website, irs.gov, or use the copy the requester sent you.
Do I send my completed W-9 to the IRS?
No. You give it to the person or business that asked for it. They keep it for their records. Check the IRS Instructions for Form W-9 for details.
Which tax classification box should I check?
That depends on how you or your business is set up for taxes. The IRS Instructions for Form W-9 explain each option. If you are unsure, ask a tax professional; this guide does not give tax advice.
Is it safe to email a W-9?
Regular email is not the safest option because the form includes your SSN or EIN. Use the requester's secure portal if they have one, or password-protect the PDF with Protect and share the password separately.
Should I flatten my W-9 before sending it?
Usually yes, so your answers display the same in any viewer and cannot be changed by accident. If the requester asked for an editable PDF, send it without flattening.
