How to scan a document on iPhone
Quick answer: To scan a document on iPhone, open the Notes app, tap the camera or attachment icon in a note and choose Scan Documents, or use Scan Documents in the Files app. To scan and then sign, fill, merge or compress in one place, open Quick PDF’s Scan to PDF in Safari and tap Save as PDF.
Sign in with Google or email and start editing. Saving your file starts a free trial: 7 days on yearly ($29.78/yr) or 2 days on monthly ($2.99/mo). Cancel anytime. 🔒 Your file stays on your device.
Your iPhone already has a document scanner, and for many people it is all they need. The catch is what comes next: the scan has to be signed, filled in, joined with other pages, made smaller for an upload portal, or sent from a different device. That is where a lot of people get stuck hunting through Notes and Files.
This guide covers both routes fairly: Apple’s built-in Scan Documents, step by step, and Quick PDF’s Scan to PDF, which runs in Safari and keeps the scan in the same place as the rest of your PDF tools. You will also find where iPhone scans are saved and how to get the file to whoever asked for it.
Scan a document on iPhone with Quick PDF's Scan to PDF
- Open Scan to PDF in Safari Go to quickpdfapp.com on your iPhone, sign in and open Scan to PDF. When Safari asks to use the camera, tap Allow.
- Take a photo of the first page Hold the iPhone flat above the page so the whole sheet fills the frame, then take the picture. Already photographed it? Pick the photo from your library instead.
- Add the remaining pages Capture each page in the order it should appear. Every photo becomes one page of the same PDF.
- Pick a look Choose Document for crisp black and white, Grayscale for pages with pencil or faint ink, Color+ for colour pages, or Original to keep the photo unchanged.
- Choose the page size Select fit, Letter or A4. Letter matches standard US paper and most US forms.
- Save as PDF and send Tap Save as PDF, then Download to keep it in Files, or Share to attach it to Mail, Messages or WhatsApp.
The built-in way: Scan Documents in Notes or Files
Apple’s scanner is built into iOS and works well. Here is how to use it:
- Notes: open a new or existing note, tap the camera or paperclip icon in the toolbar (it depends on your iOS version) and choose Scan Documents.
- Files: open the Files app, go to the Browse tab, tap the three-dot More button at the top and choose Scan Documents.
- Point the camera at the page. iOS looks for the page edges and can take the picture by itself, or you can tap the shutter.
- Drag the corners to adjust the crop if needed, keep scanning more pages, then tap Save.
A Files scan is saved as a PDF in the folder you were in. A Notes scan lives inside the note; to get a PDF out, open the scan, tap Share and choose Save to Files or send it from there.
Apple’s scanner or Quick PDF: when each one fits
| You want to… | Good fit |
|---|---|
| Scan a page quickly and keep it in a note | Notes |
| Save a scan straight into a folder | Files |
| Scan, then sign, fill in, redact or compress before sending | Quick PDF |
| Choose a page size such as Letter or A4 | Quick PDF |
| Pick a specific look (Document, Grayscale, Color+, Original) | Quick PDF |
| Use the same steps on an Android phone or a laptop | Quick PDF |
Apple’s scanner finds the page edges for you, which is genuinely handy. Quick PDF’s strength is everything after the scan: the PDF opens straight into the same tools you use to sign a PDF on iPhone, add text or join files, and the pages are processed in Safari on your iPhone rather than uploaded to a server. If you also scan on other devices, the general guide on scanning documents with your phone covers Android and camera habits.
Where your iPhone scans are saved
- Quick PDF: when you tap Download, Safari saves the PDF to the Downloads folder in Files (usually under iCloud Drive or On My iPhone). You can also tap the downloads icon in Safari’s address bar to find the file.
- Files app scan: in whichever folder you started the scan from.
- Notes scan: inside the note itself, not in Files, until you share or save it out.
Give the file a clear name before sending, such as “Smith-lease-signed.pdf”. In Files, long-press it and choose Rename.
After scanning: sign, fill, combine and shrink
A scan is rarely the last step. Common next moves on iPhone:
- Sign it: open the scanned PDF in the editor, tap Sign and draw with your finger, type your name in a script font or use a photo of your signature.
- Fill in a paper form you scanned: scans have no form fields, so tap Add text on each blank. See how to fill out a non-fillable PDF.
- Join with other files: Merge puts the scan together with other PDFs or photos in one document.
- Make it smaller: multi-page scans can be heavy for email or upload portals. Our guide to compressing a scanned PDF explains which level to choose.
Keep in mind that a scan is a picture of the page. Quick PDF does not recognize the words, so the text can’t be searched or copied. If you just need to copy a line of text from paper, iPhone’s Live Text in the Camera or Photos app can pick it up.
Troubleshooting iPhone scanning
- Safari will not open the camera. Tap the aA button in the address bar, choose Website Settings and set Camera to Ask or Allow. Also check Settings, Safari, Camera.
- The scan has a dark shadow. Your hand and phone block the ceiling light. Turn so the light comes from the side, or scan near a window.
- A page came out upside down. Open the PDF in Rotate, turn that page and save.
- You forgot a page. Scan it on its own, then add it with Organize pages, using Add PDFs or photos to this document.
- The scan is too big to email. Try the Document look, which usually makes lighter files than colour, or compress it.
- Faint signatures disappeared. Black-and-white cleanup can drop light blue ink. Rescan that page with Grayscale.
Questions people ask
Where is the document scanner on my iPhone?
It is in the Notes app (tap the camera or paperclip icon in a note, then Scan Documents) and in the Files app (Browse tab, three-dot More button, Scan Documents). There is no separate scanner app to download.
How do I scan a document on iPhone and save it as a PDF?
Scans made in the Files app are saved as PDFs automatically. For a Notes scan, open it, tap Share and choose Save to Files. In Quick PDF’s Scan to PDF, tap Save as PDF and then Download.
How do I scan multiple pages into one PDF on iPhone?
Keep scanning before you tap Save. Apple’s scanner and Quick PDF’s Scan to PDF both put every captured page into the same PDF, in the order you scanned them. You can reorder pages later with Organize pages.
Can I scan a document on iPad the same way?
Yes. Notes and Files offer Scan Documents on iPad, and Quick PDF’s Scan to PDF works in Safari on iPad with the same steps as on iPhone.
How do I scan and sign a document on iPhone?
Scan it with Scan to PDF, open the PDF in the Quick PDF editor, tap Sign, draw or type your signature, place it on the line and download. This is an electronic signature image, not a certificate-based digital signature.
Can I edit the text after scanning a document on iPhone?
Not directly. A scan is an image of the page, so the words can’t be retyped. You can cover a mistake with White-out and type over it with Add text, or add new text anywhere.
Do I have to pay to use Quick PDF?
